Invite people and set their roles

This guide shows you how to bring people into your organization and control what they can do. By the end, each person will have a role, and access to the profiles you chose.

Your plan sets how many people you can have. The Free plan is one member. See Billing and plans.

The Members tab in the desktop app shows your seats, such as 3 of 5 seats used, and full when you have none left.

Use the web app for invites. Its link takes the person straight to the invite page.

  1. In the web app, click Members in the sidebar.
  2. Under Pending invites, click Invite. You need permission to invite.
  3. In Invite a teammate, enter their Email.
  4. Choose a Role: Member, or Admin if you can change access.
  5. Click Create invite link.
  6. Click Copy and send them the link.

The link only works for that email address, and it expires in 7 days.

To give someone a Lead VA role, invite them as Member, then change their role in the desktop app.

The Pending invites table shows each invite’s Email, Role and Expires date.

  • Copy link copies the link again.
  • Revoke cancels it.
  1. They open the link.
  2. They sign in with the invited email address, or create an account with it.
  3. They click Accept invitation on the Team invitation page.

They land in the web app with your organization added to their account. If they belong to several, they switch using the organization name in the desktop app’s title bar.

The Members page lists each person’s Role and Status.

Role In short
Owner Everything. It can’t be reduced.
Admin Everything except managing billing and deleting the organization.
Lead VA A trusted team member. Sees and runs every profile, and sees the team dashboard.
VA Creates and runs profiles, and tests proxies. The web app calls this role Member.

The Roles tab lists the roles, whether each is Built-in or Custom, and how many members have it. Delete removes a custom role, if no one is on it.

You need permission to change access. The sheet is in the desktop app.

  1. Click Team in the sidebar, then the Members tab.
  2. Click the person. Each row shows their name, email, when they were last seen, their role and how many profiles they have.
  3. The sheet opens with a sentence summing up what they can and can’t do.
  4. Make your changes.
  5. Click Save.

Click a role to switch them to it. Their access changes to match.

Each area has levels, and each level includes the ones before it. Some areas also have separate switches.

Area Levels Switches
Browser profiles Off, Use, Create from templates, Create, Manage All profiles, Synchronizer, Live monitoring, Automation API, Export profiles and cookies
Proxies Off, Use, Manage Proxy provider accounts, All vetting runs, See proxy logins
Templates Use, Manage
Cards Off, View, Issue, Manage
Inbox & codes Off, View, Aliases, Manage
Team View, Invite, Manage Team dashboard
Billing & credits Off, Credits, Billing, Manage Member spend limits
Organization Organization settings, App settings

The sheet lists a few more areas too. Hover over a level to read what it allows.

Label What it means
Not in your plan Your plan doesn’t include this, so you can’t turn it on.
in-app The app enforces this.
custom The person’s access doesn’t match any single level.

When someone’s access differs from their role, the sheet says customized, and their row shows Custom. Reset to role puts it back.

You can’t give access you don’t have yourself, and you can’t edit someone with the same or more access, unless you’re an owner.

Limit What it does
Browsers open at once How many they can open by hand.
Profiles they can create How many profiles they can make.

Leave a limit empty for no limit. See Credits and limits.

This lists the person’s devices, with the platform and when each was last seen. Block stops that device opening this organization’s profiles. Unblock undoes it. These two apply straight away.

A group’s members can use the profiles in it. This is how you give someone access to some profiles but not others.

  1. Go to Browser Profiles, then the Groups tab.
  2. Click Manage access & defaults (the people icon) on the group. You need to be able to manage the group.
  3. In Group access, pick a member and a level at the bottom.
  4. Click Add.
Level What they can do
Use Run the profiles.
Manage Also edit, delete and share them.

To change someone’s level, use the dropdown on their row. Remove takes their access away. Changes apply straight away.

If nobody’s listed, only managers can see the group.

Moving profiles into a group gives its members access. The app warns you first. See Organize your profiles.

“You can’t manage this group’s access” Your access to the group is Use only.
